HOW TO REGISTER

Step 1: Participants Application
By logging in to MySummit here on the webpage, you can apply for the VSS in a few minutes! Once you have filled in all the required information, you will receive an automatic email from EFIL confirming your registration.*

Step 2: Confirmation rounds
Every volunteer needs to be approved for participation by their national AFS organisation. Once we have received the decision by your offices, you will get an email telling you whether you have been approved or not for participation. There will be two rounds of confirmation emails: Early Bird, Final round. The sooner you apply the sooner you’ll know!

NB:
Approval to participate in the VSS doesn’t mean your office will contribute financially so make sure to check with your AFS organisation. – In case you cannot participate, because you did not get a scholarship, you still have to cancel via email to caro.mulle@afs.org . Only cancellations to this email are valid!

Step 3: Room Registration
As soon as you get your confirmation email to the VSS, you have to fill in the online registration form with your My Summit account. Here you will choose your room type, communicate about dietary preferences and restrictions, etc. Do it soon as there is a limited number of beds in each category. Once you have filled in all the required information, you will receive an automatic email from EFIL including the payment details.*

Step 4: Payment & Booking travel
The payment can be done either via bank transfer or PayPal. At this point we advise you to start arranging your travel; you will have to communicate these details in the next step of the registration. EFIL will send you an email once your payment has been received. 

Step 5: Workshop Selection
After the confirmation of your payment, you can sign up for workshops and you will have to provide us with your travel details. Once you have filled in all the required information, you will receive an automatic email from EFIL.*

CANCELLATION POLICY

In case you decide to withdraw your registration, you will need to cancel by sending an email to Caro (caro.mulle@afs.org) in the EFIL office. Only cancellations to this email are valid!

Please note that these cancellation fees will be charged:

  • If you cancel after the 05th of June 2020, you will be charged 50 Euro fee.
  • If you cancel after the 26st of June 2020, you will be charged 50% of the registration fee.
  • If you cancel after the 17th of July 2020, there will be no reimbursement and you will have to pay the full fee.

Once you register on the website, we assume that you will be a participant and accept the terms and therefore the cancellation policy.
If the cancellation fee is not paid, you will be excluded from other EFIL activities.

Arrival & Departure

We will organize a bus bringing you from Prague to the venue on the 9th of August and back on the 14th in the morning. We will communicate the meeting point and time of departure later. It is crucial that you arrive in Prague well before the bus departure time and book your trip home from Prague after the bus scheduled arrival at the meeting point. We advise you to book flights that leave after 12:30 on the 14th of August. It is also very important for us that you communicate your travel details in the registration form accurately to help us plan.
